No-Code Hackathon For Workato At Slack

The focus of this hackathon was to create a bot in Slack that would integrate with multiple systems using Workato's solution. In 2.5 hours, my team and I created PolyBot, a bot that allows sales reps and their managers to manage opportunities and their consequent business trips all through Slack. This bot is integrated with Salesforce to pull the opportunities and handles all trip booking and expenses through Concur.

Pain Point

Getting travel plans approved is a hassle: too many channels, not user-friendly, and delayed responses.

Solution

Approve travel expenses for an opportunity quickly and efficiently through Slack.

User Cases

Sales Rep:

  • As a Sales Rep, I need to present a demo for a client that requires traveling, which would require management approval. I would like to easily share/submit the opportunity and my travel plans for review.

Sales Manager:

  • As a Manager, I need to review and approve demo travel plans for my sales rep based on the potential amount that the travel can bring to the company.

Main User Journey

PolyBot Interactions


To interact with PolyBot, the Sales Rep enters the "Salesforce show opportunity" command. The bot will then return all the opportunities that the Sales Rep owns in Salesforce.

Once the Sales Rep chooses the opportunity, they would click "Travel there!" which would reserve the trip for them and send the message to the Manager to “Approve” or “Reject” the trip plan with a confirmation "Message sent to Manager."


Once the Sales Rep chooses the opportunity, they would click "Travel there!" This action would reserve the trip for them and send a message to the Manager to “Approve” or “Reject” the trip plan, along with a confirmation "Message sent to Manager."


The Manager would then receive the message, prompting them to "Approve" or "Reject." Once they do so, a message "Done" would pop up and send the reply back to the Sales Rep, updating the opportunity in Salesforce.

The opportunity travel status is updated in Salesforce, allowing both the Manager and Sales Rep to view both the opportunity and the travel information.
